New Feature: Upload Requests

With upload requests, you can generate a link allowing anyone to upload files to your shares - even anonymously, without having an account and without seeing the contents of those shares. The uploader can be a person outside of your organization, even a person without a guest account.

Upload request functionality is currently available only on the Web.

Creating upload requests

Make a new upload request

To make an upload request, choose the folder where you want files uploaded. It can be any folder in a common team share or in My Files. Then, right-click on it and select Request Upload in the context menu.

?cmd=root&action=download&type=downloads&id=1305

On the resulting screen, you will need to enter the upload request Title (visible to the uploader). You can also optionally enter Description (visible to the uploader) and set an Expiration Date after which the link will stop working. You will also be able to review the Upload Destination path.

?cmd=root&action=download&type=downloads&id=1306

After clicking Create, you will be presented with the next popup where you can copy the Upload Request URL to share with others. You can also add recipients and an optional message to them. If you choose recipients, the Web portal will send emails with the upload request details and URL to those people after clicking 'OK'.

Unlike with share links, the list of recipients is used only to send out one-time notifications. Recipients are not stored, they are not given any additional permissions.

?cmd=root&action=download&type=downloads&id=1308

Uploading files to requests

Email notification for recipient

The recipients whose email addresses are entered into the form will receive an email about the upload request, containing request creator name, request Title and URL.

?cmd=root&action=download&type=downloads&id=1307

Access upload request, upload files

When a recipient opens the upload request URL, they are presented with a note "John Doe has requested files" and a form asking them to enter their email (unless the recipient is logged in). This email is not validated but can potentially be used for audit purposes.

?cmd=root&action=download&type=downloads&id=1309

Next, they will see the upload request Title and Description, and a note to carefully review the files before starting the upload as the recipient won't be able to modify or remove files once uploaded.

?cmd=root&action=download&type=downloads&id=1310

Then the recipient can add files to the queue, review it and start the upload. When uploading, the user can see the progress of their upload and errors if they happen. If the organization has some policies restricting file types and sizes, they also apply here.

?cmd=root&action=download&type=downloads&id=1311

The person uploading the files can't access any contents of the folder they are uploading to. They also can't access the files they uploaded.

If files with the same name are uploaded in different sessions, these files don't get overwritten, a separate copy is created. If a folder has a deleted file with the same name as the one that is being uploaded, such upload also makes a separate copy.

?cmd=root&action=download&type=downloads&id=1312

Managing upload requests

Receive upload notifications

When someone uploads files to an upload request, its creator gets notified by email.

Manage your upload requests

Similar to share links, if you right-click on the folder for which you already have an upload request and select Request Upload again, you will see an editing screen. But if someone else has already created an upload request for this folder, you will get a new request creation screen.

You can go to Share Links - Upload Requests to view all requests you've created and manage them.

?cmd=root&action=download&type=downloads&id=1313

On the editing screen, you will be able to modify upload request Title, Description and Expiration Date. You will also be able to add new recipients to send them the request via email.

?cmd=root&action=download&type=downloads&id=1314

Manage upload requests in the organization

The list of all upload requests created within the organization is available for the administrator under Shares - Upload Requests. Existing upload requests can be edited, activated/deactivated, and deleted.

Upload request expiration and deletion

If the destination folder or the whole team share gets deleted, if the request creator account gets deleted, the upload request gets deactivated. If the upload request is deactivated or deleted, its URL will display the relevant message.

?cmd=root&action=download&type=downloads&id=1315

Audit uploads

Activity Log of a team share allows to review the information about the uploads done using upload requests. You can click on underlined "Upload Request" to see a popup with details.

?cmd=root&action=download&type=downloads&id=1316

For logged-out users, the email address they entered (not validated) and IP address are stored.

?cmd=root&action=download&type=downloads&id=1317

For logged-in users, their name and email address are stored.

?cmd=root&action=download&type=downloads&id=1318
