Email Retrieval

Email retrieval allows users to access emails from another account directly within the vBoxxConnect web interface. This means users can add their Gmail, Hotmail, or any other email account to vBoxxConnect, enabling them to receive all their emails from different accounts through one mail server. To set up a new Email Retrieval, click on New Retrieval Task. Select the server you want to access in the web interface.

Microsoft Exchange and Exchange Services Retrieval

Most email servers and email services like Yahoo! and Gmail allow users to use POP or IMAP to link accounts. However, Microsoft is different. They have deprecated 'basic authentication' methods for connecting to Microsoft Exchange and/or Microsoft Exchange services such as Microsoft 365 (Office) and Outlook.com/Live.com. Instead, they use OAuth 2.0 for authentication with these systems. As a result, the information required to connect Microsoft 365, Outlook.com, or Exchange accounts for email retrieval is slightly different from what is required for POP and IMAP.

Additionally, an extra step is required if you are using an actual Microsoft Exchange account or an account powered by Microsoft Exchange, such as Outlook.com. Microsoft requires you to actually sign in to their services with the Microsoft account you are retrieving because it is part of the OAuth 2.0 process. Once you have set up retrieval, you will see a new Microsoft popup asking you to log in to your account or use a secondary authentication method created for that Microsoft account (e.g., receive a code on your backup email address).

  • Server Address - The address of the email server you want to connect to. When using Microsoft 365 or Outlook.com/Live.com, vBoxxConnect automatically fills in the server to use. It is important to note that when using these services, the server address added by vBoxxConnect must not change: it works for Microsoft 365, Outlook.com, and Live.com addresses. However, when connecting to an on-premises (or remotely hosted) Exchange server that you manage yourself, you need to fill in this information.
  • Retrieval Method - The method you want to use to check for new messages. Options include:
    - Automatic: This automatically checks for new messages every 10 minutes.
    - Manual: You need to click the Retrieve Messages Now button to check for new messages manually.
  • Folder Transfer Method - This is how the folders in your account are imported into vBoxxConnect. You can choose:
    - Add as root level folders: They will be mixed with existing folders in your primary account.
    - Add as subfolders: They will be imported into a subfolder. You will be asked to select a folder to import them into.
  • Require SSL - Choose this option if the connection to the server must be SSL.
  • Enable spam and content filtering - Select this option to apply spam and content filtering to the imported messages.

POP Retrieval

The vBoxxConnect POP retrieval service downloads email messages from the Inbox of another server via POP3 and delivers them to your vBoxxConnect mailbox. An important difference between POP and IMAP is that a POP account typically retrieves messages and then removes them from the original server. While vBoxxConnect's POP Retrieval allows users to leave messages on the server, they must ensure to enable this. Otherwise, POP retrieval removes the messages from the server after downloading them to your vBoxxConnect mailbox. Another significant difference is that IMAP allows retrieving ALL messages in the external mailbox, while POP only downloads the content from the Inbox.

When creating a new account for POP message retrieval, the following options are available:

  • Type - Select POP
  • Server Address - This is the address for the email server you want to connect to. This will likely be the URL to the mail server.
  • Port - The port used to connect to the email server. The default port is 110. However, some mail providers may require a separate port for POP retrieval.
  • Username - The identification used to verify with the email server. This will likely be the full email address you want to enter in vBoxxConnect.
  • Password - The password used to log in to the account you want to connect.
  • Retrieval Method - The method you want to use to check for new messages. Options include:
    - Automatic: This automatically checks for new messages every 10 minutes.
    - Manual: You need to click the Retrieve Messages Now button to check for new messages manually.
  • Destination Folder - The folder where messages from the external account should be downloaded.
  • Enable APOP authentication - Select this option if the server requires additional login security.
  • Leave messages on the server - Select this option to keep your messages on the server after they are downloaded to your vBoxxConnect mailbox.
  • Require SSL - Choose this option if the connection to the server must be SSL.
  • Enable spam and content filtering - Select this option to apply spam and content filtering to the imported messages.

IMAP Retrieval

The vBoxxConnect IMAP retrieval service downloads email messages from another server via IMAP and delivers them to your vBoxxConnect mailbox. An important difference between IMAP and POP is that an IMAP account leaves the original messages on the original mail server by default. Another significant difference is that IMAP allows retrieving ALL messages in all folders of the external mailbox, while POP only downloads the content from the Inbox.

When creating a new account for IMAP message retrieval, the following options are available:

  • Type - Select IMAP
  • Server Address - This is the address for the email server you want to connect to. This will likely be the URL to the mail server.
  • Port - The port used to connect to the email server. The default port is 143. However, some mail providers may require a separate port for IMAP retrieval.
  • Username - The identification used to verify with the email server. This will likely be the full email address you want to enter in vBoxxConnect.
  • Password - The password used to log in to the account you want to connect.
  • Retrieval Method - The method you want to use to check for new messages. Options include:
    - Automatic: This automatically checks for new messages every 10 minutes.
    - Manual: You need to click the Retrieve Messages Now button to check for new messages manually.
  • Folder Transfer Method - This is how the folders in your account are imported into vBoxxConnect. You can choose:
    - Add as root level folders: They will be mixed with existing folders in your primary account.
    - Add as subfolders: They will be imported into a subfolder. You will be asked to select a folder to import them into.
  • Require SSL - Choose this option if the connection to the server must be SSL.
  • Enable spam and content filtering (Inbox only) - Select this option to apply your vBoxxConnect spam and content filter settings to all messages downloaded from this server. If the anti-spam solution used for the account you are retrieving is effective, this may not be necessary.

Delete a Retrieval Task

To delete a retrieval task, click on the account in the list of Retrieval Tasks. Then click on Delete.
