User Management in Domain Settings

In the Users section, system and domain administrators can add, view, and modify users on a domain, where each user represents the actual mailbox and email address of a person (for example: test@example.com). Administrators can modify the basic configuration options for a user, including the password method, the functions they have access to, reply addresses, webmail preferences, and more.

When viewing or editing a user, the following cards are available:

User Actions ( : )

When viewing a specific user from the Users page, various actions can be performed by clicking on the Actions (⋮) button. These include:

  • Reindex - Improves the search functionality for a user by reindexing their account.
  • Recalculate Disk Usage - Recalculates the disk usage for the user.
  • Rename - Allows a domain administrator to change the username.
  • Resync User Protocols - This option can be used to potentially resolve an issue the user encounters when using a specific client (e.g., Microsoft Outlook, eM Client, etc.). For example, a user may encounter an issue receiving new emails in Outlook for Windows using the MAPI protocol. The issue they encounter may result from something stuck in another client: iOS Mail using EAS, eM Client using EWS, Gmail using IMAP. To help resolve this issue, a resynchronization of all clients in all protocols can solve any issue, regardless of the affected protocol.
  • Change Password - Allows the domain administrator to change the user's password (or the user account password). This option is not available if you use Active Directory authentication.
  • Expire Password - Removes the vBoxxConnect password of the user, forcing the user to change it the next time they log in to webmail. This option is not available if you use Active Directory authentication.

Account

  • Username - De identificatie die de gebruiker gebruikt om in te loggen op vBoxxConnect. Om de gebruikersnaam van een account te wijzigen, klikt u op de knop Acties (:) en vervolgens op Rename.
  • User Status - Domeinbeheerders kunnen de status van een gebruiker wijzigen om indien nodig de toegang te beperken. Als een gebruiker bijvoorbeeld het bedrijf verlaat, al dan niet vrijwillig, kan een domeinbeheerder de gebruiker schorsen in afwachting van verdere beoordeling door het bedrijfsmanagement. Opties zijn onder meer:
    • Enabled - De mailbox is in gebruik door de gebruiker.
    • Disabled and allow mail - De mailbox blijft e-mail ontvangen, maar de gebruiker heeft geen toegang tot zijn mailbox.
    • Disabled and don’t allow mail - De mailbox accepteert geen inkomende berichten meer en de gebruiker heeft geen toegang meer tot zijn mailbox.
  • Display Name - De beschrijvende naam die wordt weergegeven in uitgaande berichten.
  • Authentication Mode - De authenticatiemethode die wordt gebruikt om in te loggen: vBoxxConnect of Active Directory. Om het wachtwoord van een gebruiker te wijzigen wanneer u vBoxxConnect-verificatie gebruikt, klikt u op de knop Acties (:) en vervolgens op Change Password. Wanneer u Active Directory gebruikt, moeten wijzigingen in het wachtwoord van een gebruiker in de directory zelf worden aangebracht.
  • Active Directory Username - Als Active Directory is geselecteerd voor de Authenticatiemodus, verschijnt dit veld. Voer de Active Directory-gebruikersnaam in of pas deze aan waarmee u zich wilt authenticeren voor Active Directory-authenticatie.

  • Mailbox Size Limit - De maximale grootte van de mailbox. Standaard is de maximale mailboxgrootte 100 MB. Domeinbeheerders kunnen dit echter wijzigen in wat ze maar willen, afhankelijk van de bedrijfslimieten. Voor onbeperkte schijfruimte typt u 0.
  • Domain Administrator - Schakel deze instelling in om van deze gebruiker een van de domeinbeheerders voor het domein te maken, waardoor de gebruiker nieuwe gebruikers kan maken en domeinbrede instellingen kan bewerken.

User

  • Language - Here, the user sets the language that will be visible for the webmail interface, label settings, folder names, calendars, contact groups, email message content, log files, and everything else within vBoxxConnect. In short, the language you set is important because it affects more than just what is visible in the webmail client.
  • Time Zone - The time zone to be used for marking the send and receive date and time.
  • Reply-to Email Address - The email address used in the reply header of messages sent via webmail. This address is used by receiving email clients when replying to a message. Although it is possible to set the reply address or a user, that user can change the reply address when composing or replying to a message in an email client, such as Microsoft Outlook. If they do, that address takes precedence over what is set in the user settings.
  • Recovery Email Address - The email address to which password reset instructions are sent if the user forgets their password. This address must be separate from their vBoxxConnect address, such as a Gmail or Yahoo! address, or even the default email address of a domain administrator. Note: the backup email address can only be used if the system administrator has enabled password recovery for the login page. If the user is protected by 2-step authentication, this address can also be used to retrieve the 2-step verification code.
  • Plus Addressing - Plus addressing allows users to automatically sort incoming email without first creating rules for filtering content. A major advantage of plus addressing is that users can generate special email addresses if they don't want to reveal their real address. For example, if user@example.com needs to provide a valid email address to sign up for a newsletter, they can sign up for the newsletter with the following address: user+technewsletter@example.com. When the newsletter is delivered, it can be automatically routed to the Technewsletter folder. If the folder doesn't exist, it can be automatically created. Note: to make plus addressing work, the plus sign (+) is required AFTER the username, but BEFORE the domain name. For example, username+foldername@domain.com.
    • Disabled - Select this option to disable plus addressing for the account.
    • Move to Folder - If the target folder already exists, the incoming message is placed in it. If the folder doesn't exist, it is automatically created. Note: To prevent abuse, with this method, no more than 10 folders can be automatically created within a six-hour period.
    • Move to Folder (If Exists) - If the target folder already exists, the incoming message is placed in it. If the folder doesn't exist, the email is placed in the Inbox.
    • Leave in Inbox - The incoming message is placed in the Inbox.
  • Disable password changes - Select this option to prevent the user from changing the login password. This setting overrides the password expiration in the Security Settings. A user's password does not expire and does not need to be changed if this setting is enabled.

Service Access

With this card, a user's access to the default protocols used by vBoxxConnect can be adjusted. For example, you can restrict services such as POP, IMAP, and SMTP, so that specific users cannot link their email accounts to external email clients. The following services can be managed for each user:

  • Webmail - Enable this option to allow users to log in to vBoxxConnect from the webmail interface.
  • POP - Enable this option to allow users to download email to an email client using POP3.
  • IMAP - Enable this option so that users can create two-way email synchronization between vBoxxConnect and an email client using IMAP.
  • Inbound SMTP - Enable this option to allow users to receive email from external senders. That is, any user outside their own domain. (So from Gmail, etc.)
  • Outbound SMTP - Enable this option to allow users to send email to external recipients. That is, any user outside their own domain. (So to Gmail addresses, etc.)
  • WebDAV - This allows users to set up accounts to synchronize calendars (calDAV) and/or contacts (cardDAV) with various mobile and desktop clients that support this protocol.

Temporary Password

NOTE: This setting is reserved for system administrators managing a user and/or impersonating a user.

With this option, system administrators can generate an additional temporary password to troubleshoot issues. The actual password of a user is rarely shown to system administrators, and creating and using a temporary password does not disable the user's default account password and does not affect the ability to log in or access webmail. Creating a temporary password, instead of impersonating the account, may be necessary when it's needed to log in to a user's email or IM client where identity impersonation is not available. Additionally, administrators will notice that certain behavior in webmail may be different when impersonating an account than when they are logged in directly.

When using a temporary password, the following options are available:

  • Generate - When you click this button, a temporary password for the account is automatically generated. Only one temporary password can be created at a time, and it will be available for 24 hours upon creation.
  • Revoke - If you revoke a temporary password, it becomes immediately invalid. Therefore, if needed, a new temporary password must be generated.
  • Extend - If you choose to extend the password, the remaining time is extended by 24 hours.

Webmail

  • Delete Email Action - To specify the action taken on deleted messages, select the appropriate action from the list. NOTE: This action only affects messages. If folders are deleted, the folder and its contents always go to the Deleted Items folder.
    • Move to Deleted Items folder - Deleted items appear in the deleted items folder, which should be regularly emptied.
    • Permanently Delete - Permanently deletes the message. Note: when deleted messages are permanently deleted, the action is final, and these messages cannot be retrieved later.
    • Mark as Deleted - Marks the message for deletion but does not move the messages to the Deleted Items folder, and messages remain until the folder is emptied.
  • Compose Font - Set the default font for emails by selecting an option from the list.
  • Font Size - Set the default font size for emails by selecting an option from the list.
  • Search Language Indexer - The language against which the Lucene indexer indexes. In most cases, Generic Indexer is the best choice as it includes English and common umlauts. However, if the user views the interface in certain languages such as Chinese, Japanese, or Korean, this setting should specify the language for better indexing results.
  • Use To: address for replies - When enabled, when replying to a message via webmail, the To: field of that email is used as the sending address of a reply, regardless of whether the message was sent to a specific vBoxxConnect email address or a domain alias, email alias, SMTP account, disposable address, or plus address. For example, if an email is sent using an alias, replies to that email via webmail will automatically use the email alias address of the Alias member as the sending address. (This setting does not prevent a user from manually changing the sending address while composing a message.)
  • Request read receipts by default - Select this option to automatically request read receipts for all outgoing messages sent via webmail. When this setting is enabled, all outgoing messages sent via webmail will request the recipient(s) to send a read receipt when the message is read. If the read receipt is sent by the recipient(s), the user receives a message from the system administrator confirming that the message has been read. Note: Users should exercise caution when enabling this feature and should only do so if necessary for business or compliance or legal requirements.
  • Request delivery receipts by default - Select this option to automatically receive delivery receipts for all outgoing messages sent via webmail and email clients. When this setting is enabled, the user receives a message from the system administrator with the status of their outgoing message. Note: Users should exercise caution when enabling this feature and should only do so if necessary for business or compliance or legal requirements.
  • Mark messages downloaded by POP as read - Select this option to mark all messages downloaded via a POP3 connection as read.
  • Show images from external websites - Enable this option to automatically display all in-line external content when viewing an email. (External content is considered any image, video, animated gif, etc. that has an external source and is included in the message.) When this is enabled, the user does not need to manually display external content in the emails they receive; it will be automatically visible. Note: Emails from trusted domains and senders will always automatically display external content.

Forwarding

  • Allow automated forwarding - Select this option to allow the user to use the automatic forwarding feature and view forwarding settings. If this setting is disabled, the forwarding card will not be displayed in the user's account settings.
  • Forwarding Address - The email address to which messages sent to the mailbox are automatically forwarded. Note: messages forwarded to other email folders via content filters or plus addressing are also forwarded to this address.
  • Keep original sender and recipients when forwarded - If enabled (which is the default setting), an email message is actually forwarded to the new recipient and retains the original "To" and "From" addresses. If disabled, forwarding behaves as if the email were manually forwarded. Thus, the 'From' address is replaced by the address of the mailbox to which the message is forwarded, and the 'To' address is the mailbox listed in the forwarding address.
  • Delete messages when forwarded - Select this option to delete messages from the vBoxxConnect mailbox after they are forwarded.

User Groups

User groups are used to grant access to specific subsets of users in the domain to shared resources. For example, if a company wants to make it easy for members of the sales department to share their calendars with other team members, the domain administrator would create a user group for all sales department employees.

If user groups have been created, they are listed here and can be toggled on or off for specific users.

Throttling

Throttling limits the number of messages sent per hour and/or the amount of bandwidth used per hour to send messages. Domain administrators can use this feature per user to delay or reject messages that exceed the desired limit, preventing users from sending huge amounts of email throughout the day that could potentially land the domain on a blacklist.

Note: for each threshold value and action, you will see '(Default = X)', indicating the throttling policy set by the system administrator for the ENTIRE domain. It is important to consider the domain's throttling limits when modifying the limits for a specific user. For example, if you set the user's limit to the maximum for the domain, and that user sends as many messages per hour, the ENTIRE domain will be limited. This means outgoing messages from all users in the domain will be delayed or rejected, depending on the domain's throttling action. (NOTE: if messages are already in the queue, from a user or a domain, these messages, when a throttling limit is reached, are essentially delayed, even if the throttling action is set to 'reject'. Only newly sent messages are rejected.)

  • Outbound Messages per Hour (0 = Infinite) (Default = 5000) - The number of messages the user sends per hour.
  • Message Throttling Action (Default = None) - Select an action vBoxxConnect should take once the specific throttling level is reached. Of course, administrators can choose to do nothing at all, or they can delay or reject messages until the amount of sent email falls below the set throttling limit.
  • Outbound Bandwidth per Hour (0 - Infinite) (Default = 100) - The total number of MBs sent by the user per hour.
  • Bandwidth Throttling Action (Default = None) - Select an action vBoxxConnect should take once the specific throttling level is reached. Of course, administrators can choose to do nothing at all, or they can delay or reject messages until the amount of bandwidth used falls below the set limit.
