vBoxxConnect - User Overview

This settings page is only available to domain administrators.

In the Users section, a domain administrator can manage user accounts within their domain. This document explains the actions that can be taken on user accounts, including the ability to import users, enhance the search functionality for a user by reindexing their account, enable or disable the MAPI/EWS and/or EAS synchronization add-ons, and more.

When you first navigate to a domain's accounts, the Users tab is loaded by default. Here, you will see a list of users already set up for the domain. On this tab, you can also edit users, add new users, delete users, and much more.

When viewing the Users tab, the following information is displayed:

  • Account - The username or name that appears to the left of the "@" symbol in the email address.
  • Name - The display name set for the user.
  • Type - The "Role" of the User: User, Domain Administrator, or Primary Administrator.
  • Enabled - Whether the User is allowed to send/receive emails (Enabled) or not.
  • Last Login - The last date and time the User logged into webmail.
  • Disk Usage - The total amount of disk space used versus its limit.

The Actions (⋮) menu provides several different ways to interact with domain users. This includes:

  • Import from CSV - Import new user accounts from a CSV file.
  • Export All to CSV - Export a CSV file of all users in the domain.
  • Reindex - Reindexes users/accounts to improve the search functionality for a user by reindexing their account.
  • Recalculate Disk Usage - Recalculate disk usage for one or more user accounts.
  • Enable - Enables the account, allowing the user access to their mailbox and to send/receive emails.
  • Disable - Disables the account. Essentially, this blocks the user from their account. However, when disabling a user, the domain administrator has the option to "allow incoming messages," so mail is still received even though the user cannot log in.

Import from CSV

To add new vBoxxConnect users via a CSV spreadsheet, click on the Actions (⋮) button and then Import from CSV. Upload the CSV file containing the user information and click Next. On the first page of the import modal, you can assign the CSV column headers to the appropriate configuration option within vBoxxConnect. For example, if your CSV has a column header for 'username,' you can select the mapping 'Username.'

The CSV file must contain at least the 'Username' column header. All remaining configuration options mimic the User Defaults template of the domain. If there is no 'Password' column header in the CSV, the import modal will prompt you to create a temporary password for the imported user(s). These users will be asked to change their password the next time they log in to the webmail interface.

Export All to CSV

To export a list of all user accounts in the domain, click on the Actions (⋮) button and then Export All to CSV. The CSV file contains a variety of details about the user accounts, including their username, display name, authentication method, home and work address, disk usage, and more.

Reindex

If a user reports errors or a lack of results when performing a search, it may be necessary to reindex their user account, regenerating the mailbox index file. To reindex one or more users, check the desired user accounts, click on the Actions (⋮) button, and then click Reindex.

Recalculate Disk Usage

This option can be used to recalculate the disk usage for the selected user(s). If you notice differences in the display of the user's disk usage in different parts of the interface (in the email section, reports, or the user grid), use this option to recalculate and correct that display. Note that there may be no visual effect if the displayed disk usage figures were already correct. To refresh the disk usage for one or more users, check the desired user accounts, click on the Actions (⋮) button, and then click Recalculate Disk Usage.
